Walkthrough · about 10 minutes
Your providers credentialed, billing, and kept that way.
CredTek is a credentialing team you hand the whole job to: new providers credentialed and enrolled, and your entire roster kept current with every payer. This walkthrough shows the problem we solve and what changes for your group.
What you'll see
- The problem. Why credentialing stalls, and what it costs while it does.
- What we do. Get new providers billing, keep everyone billing, and never stop chasing.
- What it's like for you. Always knowing where things stand, audit-ready any day.
- Getting started. Three steps, and what it costs.
Who it's for
Medical groups, behavioral health practices, telehealth companies and MSOs whose credentialing lives with people who have other jobs, or with a coordinator who is underwater.
If your group spends more than a coordinator's salary on credentialing, or loses months of billing to waiting, this is for you.
Prepared Nov 1, 2026 · www.cred-tek.com/walkthrough · Sample screens show a fictional group.
Step 1 of 11
The problem
Credentialing rarely fails because it's hard. It fails because nobody has time to chase it.
The person who owns it has a dozen other jobs. So almost every file runs the same loop.
- 1StartedA new hire's file gets opened. Everyone means well.
- 2StalledA payer goes quiet. A provider forgets a document. Nobody notices for weeks.
- 3ChasedSomeone finally spots it and starts sending reminders. Now you're the one chasing people.
- 4LostYour coordinator moves on. Half the file lived in their inbox.
- 5RestartedYou hire someone new, train them for months, and the file starts over.
And the next new hire's file starts the same loop. Meanwhile, a clinician who is ready to see patients waits months to bill, and the providers you already have drift out of date one renewal at a time.
We added 80 providers last quarter and our team of 6 is drowning in CAQH attestations and renewals. We're losing clinicians to competitors who onboard faster.
Optum demanded delegated-credentialing documentation and we're not NCQA compliant. We're rebuilding files from scratch and it's costing us six figures.
Real quotes from first calls, paraphrased and shared with permission.
In one sentenceThe work isn't the problem; the follow-up nobody has time to make is.
Step 2 of 11
The problem
What it costs while files wait
Three costs show up in every group we talk to. Only the first one is easy to see.
1 · Revenue that waits
~$590 a day
A provider who collects about $18,000 a month leaves roughly $590 unbilled for every day they wait to be credentialed and enrolled. A 90-day wait is about $53,000, for one provider.
Example from our calculator's assumptions. Run your own numbers.
2 · Things that lapse quietly
- A license, DEA registration or malpractice certificate that expires
- A CAQH attestation that runs out (every 120 days)
- A re-credentialing date that passes (every 36 months)
- A monthly exclusion check that never happened
Each one surfaces as a denied claim, a recoupment, a payer termination letter, or an audit finding, usually after the money is gone.
3 · Rosters payers have wrong
- A provider who left is still listed
- A new location or address never reached the payer
- The NPI or name doesn't match the national registry
Payers pay against the roster they hold, and directory rules now expect provider details confirmed every 90 days.
For a 200-provider group hiring 10 a quarter, our calculator puts about $2.1M of billing a year in the waiting line alone, before anything lapses.
In one sentenceWaiting costs money every day, and lapses cost more, later, when they're harder to fix.
Step 3 of 11
What we do
We take credentialing off your plate. All of it.
CredTek is a team of master credentialers. You hand us your providers; we do the work and keep doing it. Two jobs, one team.
Get them billing
Every new provider, from the first document to the first claim.
- Collect what we need from the provider, and keep collecting until we have it
- Verify every license, registration, certification and history with its source
- Set up or update their CAQH profile
- Enroll them with every payer you contract with
- Stay on each payer until the provider is approved and billable
- Hand off to your billing team the day they're approved
Keep them billing
Your whole roster, kept current, for as long as you work with us.
- License, DEA, board and malpractice renewals, started early
- CAQH re-attestation before the window closes
- Re-credentialing and revalidation with every payer
- Exclusion and sanction checks every month
- Provider directory details confirmed every 90 days
- Payer roster updates: adds, changes and terms
Your team approves what goes out under your name. Nobody on your side chases anything.
In one sentenceNew providers get billing sooner, and nobody already billing falls out of date.
Step 4 of 11
What we do
We do the chasing. Every file, on a schedule, until it's done.
Persistence is the whole job. This is the schedule our team keeps on every open file, so nothing waits on someone remembering.
- Every 2 daysA reminder to any provider with an open item
- Every 7 daysA status check with every payer holding an application
- After 5 silent daysEscalation on any board or verification source that goes quiet
- Before day 120CAQH re-attestation, before the window closes
- 90 · 60 · 30 days outLicense, DEA and malpractice renewals, started early
- 120 days outRe-credentialing opened, well before it's due
- The day they're approvedA billing handoff to your revenue-cycle team

Hi Maya,
Just a quick nudge. Your credentialing file is open and we're waiting on a few items:

A person makes every touch
Every call, email and payer reference number is logged on the provider's record, so the file never lives in one person's inbox.
Nothing restarts
A team covers every file. When someone is out or moves on, the next touch still happens on time.
In one sentenceWe never let a follow-up slide, and you never have to remember any of it.
Step 5 of 11
What we do
Nothing lapses. Every provider, every requirement, every day.
We check your whole roster against everything that keeps a provider credentialed and billable, and handle what's coming due before it becomes a problem.

Primary source verification
How old each verification was at the decision. NCQA counts a verification for 120 days.
| Item | Expires | At the decision |
|---|---|---|
| FL license, verified with the board | Expires in 21 months | 42 days before |
| Malpractice insurance | Expires in 5 months | 30 days before |
| OIG exclusion check | - | 11 days before |
| SAM.gov exclusion check | - | 11 days before |
| NPDB query | - | 18 days before |
Ongoing monitoring
Every check since the decision. Exclusion lists have to be checked at least every 30 days.
| List | Checks | Lapses over 30 days |
|---|---|---|
| OIG exclusions | 10 | None |
| SAM.gov exclusions | 10 | None |
| Medicare opt-out | 10 | None |
What's in every file
- Every verification, its source, and how old it was at the decision
- Every exclusion check since, with no gap over 30 days
- Screening results, payer applications, locations and documents
- A change history that can't be quietly edited
When you need it
- A delegated-credentialing audit
- A payer asking for a provider's file
- Your credentialing committee
- An acquisition or a new contract
In one sentenceWhen someone asks for a file, you send it the same day.
Step 9 of 11
What it's like for you
Why groups hand it to us. Your team has other jobs. This is ours.
There are three ways to solve this. Only one takes the work off your plate.
| Hire another coordinator | Buy credentialing software | CredTek | |
|---|---|---|---|
| Who does the chasing | Your coordinator, when there's time between other jobs | Your team still does; the software reminds them | Our team, on a schedule, until each file is done |
| When someone leaves | The file stalls, or starts over | Same: the software doesn't do the work | Nothing restarts. A team covers every file |
| Getting started | Months to hire and train | Weeks of setup, then your team runs it | Working your roster within 48 hours |
| A hiring wave or a new state | Overtime, or another salary you carry forever | More work for the same people | We scale up for it, month-to-month |
| What you pay for | A salary, plus turnover and retraining | Licenses, plus the people to use them | One monthly program. Keeping your roster current is never metered |
Who we are
Master credentialers with 20+ years across medical credentialing, healthcare technology and provider-network builds, from inside enterprise health systems to the payer side of the table. We don't get pulled into other fires, we don't let a follow-up slide, and nobody takes your files with them when they move on.
In one sentenceWe scale up when the work does, get the job done, and stay only as long as we're earning it.
Step 10 of 11
Getting started
Questions groups ask. Straight answers.
What comes up on almost every first call.
Do we lose control of our providers' files?
No. Your team approves anything that goes out under your name and sees every file in the portal. You can download your payer roster, the compliance report, and any provider's credentialing file whenever you want.
Who actually does the work?
Master credentialers on our team. A person makes every call and sends every email, and logs it on the provider's record.
What do our providers have to do?
Only what only they can do: sign attestations, re-attest in CAQH, and send renewal documents. We tell them exactly what is needed and when, and keep reminding them until it is done.
Do we have to install anything or switch systems?
No. We take your roster as it is (a spreadsheet is fine) and work in the CredTek portal, where your team gets seats.
What about HIPAA?
We sign a BAA with you before we touch a single file.
Which payers do you work with?
Every payer you contract with: commercial plans, Medicare, Tricare, and state Medicaid and its managed care plans.
How soon do we see a difference?
We start working files within 48 hours of the BAA. Every open file gets its next touch on our schedule from the first week.
What about new hires?
The same team credentials and enrolls them, for a one-time fee per provider, quoted as you need them: about $1,500 each.
We have fewer than 100 providers. Does it still make sense?
The program is $3,997 a month for up to 100 providers. If your roster can't justify that, we'll tell you on the first call.
Can we leave?
Yes. It's month-to-month, with a 30-day out for the first 90 days, and your roster and files go with you.
In one sentenceYou keep control and visibility; we do the work and the chasing.
Step 11 of 11
Getting started
Three steps to providers who can bill. Starting this week.
- 1Book a 20-minute callBring your roster and your worst file. We'll tell you straight whether we're a fit, and if your group is too small for us, we'll say so.
- 2We plug in within 48 hoursWe sign the BAA, take your roster as it is, and start working files. No software rollout, no new hire to train.
- 3Watch your providers go liveEvery stage and every follow-up shows up in your portal. You approve submissions; we do the rest.
What it costs
From $3,997 a month
Keeps your first 100 providers credentialed and current: re-credentialing and revalidation with every payer, CAQH re-attestation, renewals, exclusion monitoring and payer roster updates. $35 per provider per month above 100. No setup fee, and keeping your roster current is never metered.
New providers are credentialed and enrolled by the same team for a one-time fee per provider, quoted as you need them: about $1,500 each.
Month-to-month, with a 30-day out for the first 90 days.
What success looks like
- New providers billing as soon as they're approved
- Nothing lapsing, and no surprise denials
- Every payer holding the right roster
- An audit any day, without a scramble
- Your team back on the work they were hired for
Your ballpark budget
- The program$3,997 a month keeps your first 100 providers credentialed and current
- $3,997 a month
- Onboarding new providersCredentialing and enrollment for each new hire, quoted per provider: about $1,500 each
- $18,000 a year
- First-year ballpark
- $65,964
A ballpark, not a quote: we confirm it against your roster on the first call. Keeping your roster current is never metered. Facilities are a separate program. See what faster billing is worth to you.
In one sentenceHand us your roster this week, and your files are moving within 48 hours.
